6 months FTC

We are looking for an experienced administrator to provide a high level of efficient and effective administrative support to the business, the Administration Supervisor and Head of Sales Operations

 

Key Responsibilities:

  • Open and distribute all incoming post
  • Entering data from booking forms onto our in-house system
  • Scanning and attaching booking forms onto our in-house system
  • Entering data from client questionnaires onto our in-house system and liaise with our client experience department
  • Enter client brochure and future destination requests from client reply cards
  • Production of client invoices
  • Communicate with sales specialists daily to co-ordinate UK airport extras or UK transfers for their clients
  • Managing the administration helpdesk as per rota task
  • Assist with production of ad-hoc letters sent to clients
  • Assist despatch team with high volumes of printing and packing of client final itineraries
  • Assist despatch team with high volumes of brochure packing and post for clients
  • Willingness to help other team members
  • Able to assist Department Managers & Country Specialists daily with administration queries
  • Ensure all client data is locked away overnight
  • Being familiar with Audley processes and applications

 

Person Specification:

  • Proven track record at meeting deadlines and targets in an admin environment
  • You should be able to work independently in a methodical way to given timescales in a fast-paced environment and therefore have good time management skills as well as being self-motivating
  • You should be well organised, adaptable and have excellent attention to detail
  • Should be an excellent and confident communicator
  • Able to confidently offer advice and help to colleagues
  • Pro-active and able to look at processes and improve them where necessary
  • Displays a positive ‘can do’ attitude
  • Displaying flexibility when working on rota tasks

 

Competencies:

  • Office experience essential (including data entry)
  • Good standard of education
  • GCSE Maths & English
  • Good understanding of MS Word, Excel and Outlook
  • Strong team player who is comfortable working independently
  • Interest in the travel industry
  • Excellent role model to the team
  • Highly competent at all admin tasks listed above or have transferrable skills from previous admin experience
  • Confidentiality awareness
